Fundraising Assistant

Location: Hybrid / Remote – office in Leeds
Part-time: 3 days per week
Salary: Up to 30k pro rata (Actual up to £18k)
Holidays: 6 weeks plus bank holidays

About Fundin

Fundin is transforming nonprofit fundraising with an AI-powered platform. We help charities discover funding opportunities, draft winning bids, and manage applications seamlessly. As we scale, we’re looking for a Fundraising Assistant to support our grant application processes and keep fundraising operations running smoothly.

This role is perfect for someone highly organised, passionate about helping charities secure funding, and comfortable handling multiple administrative tasks. While the primary focus is on fundraising support, you’ll also assist with key business admin tasks to ensure smooth day-to-day operations.

Key Responsibilities

Grant Coordination & Fundraising Support

  • Submit grant applications on behalf of clients, ensuring accuracy, compliance, and completeness.
  • Track submitted bids, monitor deadlines, and proactively follow up on application statuses.
  • Maintain and update internal records of grant submissions, approvals, and pending applications.
  • Liaise with clients, funders, and freelancers to coordinate grant application processes.
  • Ensure smooth workflows in grant application processes, making recommendations for improvements.

Financial & HR Administration

  • Process and pay invoices, ensuring accurate tracking of grant success fees.
  • Manage invoicing for grant-related payments and follow up on outstanding invoices.
  • Assist with basic HR tasks, including onboarding new freelancers and managing contracts.
  • Help with recruitment tasks, such as posting job listings, screening applications, and scheduling interviews.

Business & Operational Support

  • Support the founder with administrative tasks, such as scheduling, emails, and internal coordination.
  • Maintain and organise business documents related to grants, invoices, and operations.
  • Assist in improving internal processes to ensure efficiency in fundraising operations.

What We’re Looking For

Passionate about fundraising. You want to help charities secure funding and succeed.
Highly organised. You can juggle multiple applications, deadlines, and admin tasks at once.
Detail-oriented. You check everything twice to ensure nothing slips through the cracks.
Strong administrative skills. You’re confident managing data, documents, and financial processes.
Proactive and self-motivated. You take initiative and ensure everything stays on track.
Good with numbers. Comfortable handling invoices and tracking payments.
Tech-savvy. Experience with CRM, grant management, or finance software is a plus.

Bonus (Nice to Have, But Not Required)

  • Experience working in a charity, nonprofit, or fundraising environment.
  • Familiarity with grant writing or bid submission processes.
  • Previous experience in admin, finance, or HR support.
