Important Notice – Managed Services
Fundin offers both self-serve software access and optional managed services.
Users who purchase or are onboarded onto Fundin’s managed grant writing and submission service are subject to additional terms set out in Section 16 (Managed Services). These terms apply in addition to the general Terms & Conditions and override them where expressly stated.
1. Agreement to Terms
By creating an account and using the Fundin platform, you agree to be bound by these Terms & Conditions. If you do not accept these terms, you must stop using the platform immediately.
2. Platform Services
Fundin provides access to a software platform that offers AI-powered tools and features to assist users in discovering funding opportunities, generating draft content, tracking funding opportunities, and managing project information.
Fundin may update, improve, suspend, or remove platform features at any time. Significant changes will be communicated in-app.
3. AI Usage & Data Protection
Fundin uses artificial intelligence and machine-learning technologies to provide assistive features such as content generation, recommendations, and insights.
AI-generated outputs are provided for guidance only and may contain inaccuracies, omissions, or outdated information. Users are solely responsible for reviewing, editing, and validating any AI-generated content before relying on it or submitting it to third parties.
Customer Data & AI Training
- Fundin does not use your account data, uploaded content, or generated outputs to train AI models for other users.
- Data from one customer account is never shared, reused, or exposed to other customers through AI features.
- AI interactions are processed on a per-account basis and are not used to personalise or improve outputs for other users.
Fundin may use anonymised and aggregated usage data to improve platform performance and functionality, provided such data does not identify individual users or expose customer content.
4. Scope of Services
Fundin’s role is strictly to provide software, AI tools, and related platform features. Fundin does not perform application drafting, review, submission, or any work on behalf of users.
Users are fully responsible for:
- final review, editing, and formatting of any content generated via the platform;
- submitting applications to funders through their chosen channels;
- interpreting funder requirements, eligibility criteria, and outcomes.
Fundin does not guarantee eligibility, accuracy of third-party information, funder decisions, or any funding outcome.
5. Account Responsibilities
You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. You must notify Fundin immediately in the event of unauthorised access.
6. Acceptable Platform Use
Users must not:
- upload unlawful, harmful, or infringing content;
- attempt to access, interfere with, or disrupt the platform or its systems;
- misuse AI tools or generate content that violates applicable law.
7. Payment & Billing
If you subscribe to a paid plan:
- subscription fees renew automatically each billing cycle unless cancelled;
- all subscription fees are non-refundable except where required by law;
- Fundin may change pricing with reasonable prior notice communicated in-app.
Fundin does not charge success fees or fees contingent on funding outcomes.
8. Self-Serve Platform & No Service Guarantees
Fundin is a self-serve software platform. There are no service-level commitments, turnaround times, delivery obligations, or managed services included with any subscription unless explicitly agreed in writing.
This section does not apply to users receiving Managed Services under Section 16.
9. User Responsibilities
You are responsible for:
- verifying that generated or suggested content is accurate, suitable, and compliant with funder requirements;
- ensuring the accuracy of all information submitted to funders;
- submitting applications and associated documents;
- tracking outcomes and communications with funders.
10. Outcome Reporting
As Fundin does not manage or submit applications, users are not required to report funding outcomes to Fundin.
11. Intellectual Property
All software, content, trademarks, and intellectual property associated with the platform are owned by Fundin or its licensors. You may not copy, distribute, modify, or create derivative works without prior written consent.
12. Limitation of Liability
To the maximum extent permitted by law, Fundin is not liable for any indirect, incidental, or consequential losses, including loss of funding, revenue, or opportunity.
Fundin’s total liability for any claim arising from use of the platform is limited to the subscription fees paid by the user in the 12 months preceding the claim.
13. Termination
Fundin may suspend or terminate access if these Terms are breached. Users may cancel their subscription at any time via account settings. Cancellation does not entitle the user to a refund for prior charges.
14. Amendments
Fundin may update these Terms at any time. Continued use of the platform after changes are made constitutes acceptance of the revised Terms.
15. Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
16. Managed Services
This section applies only to users who purchase or are onboarded onto Fundin’s managed grant writing and submission service (“Managed Service” or “Managed Users”).
These terms apply in addition to Fundin’s standard Terms & Conditions. Where there is any conflict between these Managed Services terms and the general Terms & Conditions, this Section 16 shall prevail for Managed Users only.
16.1 Scope of the Managed Service
For Managed Users, Fundin will provide a service which may include:
- identifying suitable grant opportunities;
- drafting grant applications based on information provided by the user;
- internal review of bids by a bid writer; and
- submitting approved bids to funders on the user’s behalf.
Fundin does not guarantee funding outcomes. All funding decisions are made solely by third-party funders.
16.2 Minimum Term & Notice Period
- The Managed Service is subject to a minimum term of three (3) months.
- Following the minimum term, either party may terminate the Managed Service by providing three (3) months’ written notice.
- Fees remain payable throughout the minimum term and any notice period.
16.3 Managed User Responsibilities
Managed Users are solely responsible for:
- uploading complete, accurate, and up-to-date information to the platform;
- providing all required supporting documentation, policies, financial information, and evidence requested by Fundin;
- adding and maintaining projects within the platform for which funding is sought;
- reviewing and approving bids in a timely manner.
Fundin shall not be responsible for delays, missed deadlines, or unsuccessful applications resulting from incomplete, inaccurate, or late information or approvals provided by the user.
16.3a Out of Scope Services
Unless expressly agreed in writing, the Managed Service does not include:
- fully developing or designing projects, theories of change, or programme models;
- speaking directly with funders on the user’s behalf, including calls, meetings, or correspondence;
- reporting, monitoring, or evaluation of funded projects or outcomes;
- attending meetings, panels, interviews, or presentations with funders;
- financial management, budgeting, or post-award grant administration.
Any services outside the above scope may be offered separately at Fundin’s discretion and may be subject to additional fees and terms.
16.4 Onboarding
Prior to commencement of any grant applications under the Managed Service, Managed Users must complete Fundin’s mandatory onboarding process.
No grant applications will be drafted or submitted until onboarding has been completed in full to Fundin’s reasonable satisfaction.
16.4.1 Onboarding Requirements
The mandatory onboarding process includes:
(a) Onboarding Call
Completion of at least one onboarding call with Fundin’s Operations Manager, Customer Success Manager (CSM), or another designated representative.
(b) Onboarding Checklist
Completion of the following onboarding tasks within the Fundin platform:
- Project Development
- At least one strong, fully developed project added to the platform.
- Projects must be:
- written by the user; and
- reviewed and approved by Fundin’s Operations Manager or CSM prior to use in applications.
- Company / Organisation Profile
- The organisation profile must be fully completed within the platform.
- Funder Restrictions List
- A clear list of funders the user cannot currently apply to, including:
- funders with existing awards;
- recently submitted applications; and
- for each funder, the earliest date the user may reapply.
- These funders will be excluded from matching until the relevant reapplication date.

- Supporting Documents
- Upload of all relevant supporting documents to the platform’s document library, including:
- governing documents;
- safeguarding policy;
- other required compliance documents; and
- a copy of the latest annual accounts.

16.4.2 Commencement of Managed Services
- Managed Services, including grant research, drafting, and submission, will commence only once all onboarding requirements have been completed and approved.
- Any delays in completing onboarding will delay service commencement.
- Minimum term, notice periods, and fees continue to apply during the onboarding period.
16.5 Grant Selection & Professional Discretion
- Fundin will select what it reasonably considers to be the most suitable grant opportunities based on eligibility, project readiness, and likelihood of success.
- Fundin is not obliged to submit a minimum number of applications where suitable opportunities are not available.
- Fundin reserves the right to recommend not applying for certain opportunities where applications are unlikely to succeed or would pose reputational or compliance risk.
16.6 Service Levels & Delivery Timelines
Fundin will use reasonable endeavours to meet the following service levels:
- An average of two (2) to five (5) grant applications per calendar month, measured over a rolling twelve (12) month period, subject to:
- availability of suitable funding opportunities;
- user eligibility and project readiness; and
- timely provision of information and approvals by the user.
- Some months may reasonably involve a higher or lower number of submissions depending on funder deadlines, opportunity availability, and bid complexity.
- Fundin will work on one (1) bid at a time per Managed User. Once a bid has been approved by the user, Fundin will proceed to the next bid.
- The average turnaround time is five (5) working days per bid, though this may be shorter for simpler applications or longer for more complex bids.
- Approved bids are typically submitted within three (3) working days of approval, subject to funder systems and deadlines.
Service levels are paused during periods where user input, information, or approval is outstanding.
16.7 Approval & Submission
- No bid will be submitted without explicit user approval.
- Managed Users are responsible for reviewing all drafts for accuracy and completeness prior to approval.
- Fundin shall not be liable for errors or omissions present in user-approved submissions.
16.8 AI Usage Within Managed Services
Fundin may use AI-assisted tools to support drafting and research.
All Managed Service bids are subject to human review prior to submission.
Use of AI does not remove the user’s responsibility to ensure submitted information is accurate and truthful.
16.9 Third-Party Dependencies
Fundin is not responsible for delays or failures caused by:
- funder portals or third-party systems;
- changes to funder deadlines or requirements;
- external technical issues beyond Fundin’s control.
16.10 Suspension & Termination for Cause
Fundin may suspend or terminate the Managed Service with immediate effect where:
- required information or approvals are not provided;
- fees remain unpaid;
- the user provides false, misleading, or unlawful information;
- continued service would expose Fundin to reputational or legal risk.
Suspension does not pause the minimum term or notice period unless agreed in writing.
16.11 Limitation of Liability
Fundin is not liable for:
- rejected or unsuccessful applications;
- lost funding or opportunity;
- indirect or consequential losses.
Fundin’s total liability in connection with the Managed Service is capped at the fees paid for the Managed Service in the six (6) months preceding the claim, to the extent permitted by law.
