These Terms and Conditions (“Terms”) govern access to and use of Fundin’s services, including the managed grant and tender application service (“Managed Service”) and the Discover self-serve plan (“Discover”). Sections marked (All Plans) apply regardless of which service the User subscribes to. Sections marked (Managed Service) or (Discover Plan) apply only to that plan. Where a User subscribes to both, both sets of plan-specific terms apply to the relevant part of the service used.
1. Agreement to Terms (All Plans)
By purchasing, accessing, or using Fundin’s services, you agree to be bound by these Terms & Conditions. If you do not accept these terms, you must not use the service.
2. Nature of the Service
2A. Managed Service
Fundin provides a managed grant and tender application service supported by proprietary software and AI tools.
The service may include:
- identifying funding and tender opportunities;
- drafting applications based on user-provided information;
- internal review of applications; and
- submitting applications on the user’s behalf (where applicable).
Fundin does not guarantee funding outcomes or success.
2B. Discover Plan
Discover is a self-serve software subscription. Unlike the Managed Service, no Fundin staff member drafts, reviews, or submits grant or tender applications on the User’s behalf under Discover.
Discover provides:
- access to Fundin’s grant directory;
- AI-powered grant matching based on organisational data provided by the User;
- automated eligibility checking against grant criteria;
- questionnaires and reporting tools; and
- MCP (Model Context Protocol) Access, allowing the User to connect Discover to supported third-party AI tools (including Claude and ChatGPT).
Fundin may add, remove, or modify features of Discover from time to time. Material reductions in functionality will be notified to active subscribers in advance where reasonably practicable.
3. Credit-Based System (Managed Service)
Fundin operates on a credit-based delivery model for the Managed Service.
- Grant applications: one (1) credit per application
- Tender applications: three (3) credits per application
3.1 Credit Allocation — Credits are allocated in line with the User’s subscription plan and billing cycle.
3.2 Credit Rollover — Unused credits may roll over between billing periods.
3.3 Active Subscription Requirement — Credits may only be used while the User maintains an active subscription. If a subscription becomes inactive or is cancelled, unused credits cannot be used unless the subscription is reactivated.
3.4 Credit Usage — Credits are deducted when drafting of an application commences. Once drafting has commenced, the associated credit is considered used and is non-refundable, regardless of whether the application is subsequently submitted, except at Fundin’s sole discretion.
3.5 No Guarantee of Credit Usage — Fundin does not guarantee that all allocated or rolled-over credits will be used within any specific timeframe.
4. Service Delivery (Managed Service)
Fundin will use reasonable endeavours to deliver services in line with:
- the User’s available credits;
- availability of suitable opportunities;
- eligibility and project readiness; and
- timely provision of information and approvals.
Fundin will work on one (1) application at a time per user, unless agreed otherwise.
The rate at which credits are utilised depends on the User’s responsiveness and cooperation.
Fundin is not obliged to proceed with applications where:
- suitable opportunities are not available; or
- the application is unlikely to succeed.
4.1 Monthly Grant Planning — At least seven (7) days before the start of each billing month, Fundin will identify and present to the User a schedule of grant and tender opportunities proposed for that month.
The User must approve or reject each proposed opportunity within five (5) working days of presentation. Where no response is received within this period, Fundin will treat each opportunity as approved and proceed with drafting, unless the User has notified Fundin in writing that they do not wish for auto-approval to apply to their account.
Users may request a change to their planned pipeline at any time, provided:
- the User has identified and sourced the alternative opportunity themselves and provided full details to Fundin;
- drafting of the opportunity to be replaced has not yet commenced; and
- all credits allocated for that billing period have not already been spent.
Fundin will use reasonable endeavours to accommodate such requests but cannot guarantee substitution where operational or timing constraints apply.
5. Turnaround Times (Managed Service)
- Average drafting time: five (5) working days per application
- Submission after approval: typically three (3) working days
These timeframes are indicative only and may vary depending on complexity, funder requirements, and external factors.
6. User Responsibilities (All Plans)
Users are responsible for:
- providing complete, accurate, and up-to-date information;
- supplying all required supporting documentation;
- maintaining project information within the platform;
- reviewing and approving applications in a timely manner (Managed Service).
Fundin is not responsible for delays, missed deadlines, or unsuccessful applications resulting from incomplete, inaccurate, or late information or approvals.
For Discover, the User is additionally responsible for independently verifying any AI-generated match, eligibility assessment, or other automated output before relying on it — see Section 10B.
7. Onboarding Requirements
7A. Managed Service
Service delivery will not begin until onboarding is completed to Fundin’s reasonable satisfaction.
Onboarding includes:
- completion of an onboarding call;
- creation of at least one viable project;
- completion of organisation profile;
- submission of required documents; and
- provision of any required funding restrictions.
Delays in onboarding do not pause subscription fees, minimum terms, or notice periods.
7B. Discover Plan
Discover access is available immediately on subscription and does not require completion of the Managed Service onboarding process above. However, an onboarding call with a member of the Fundin team is a condition of eligibility for the Money-Back Guarantee at Section 13B — see that section for details.
8. Scope Limitations (Managed Service)
Unless agreed in writing, the Managed Service does not include:
- project design or development;
- direct communication with funders;
- reporting, monitoring, or evaluation;
- attending meetings or interviews;
- financial management or grant administration.
Additional services may be offered separately at Fundin’s discretion.
9. Approval & Submission (Managed Service)
No application will be submitted without explicit user approval.
Users are responsible for reviewing all content prior to approval.
Fundin is not liable for errors or omissions in user-approved submissions.
10. AI Usage
10A. Managed Service
Fundin may use AI-assisted tools to support research and drafting.
All applications are subject to human review.
AI-generated content may contain inaccuracies, and users remain responsible for verifying all submitted information.
Fundin does not use customer data to train models for other users.
10B. Discover Plan — AI-Generated Matching & Eligibility Checking
Grant matches, eligibility assessments, and any other AI-generated outputs provided through Discover (including via MCP Access) are generated automatically and are indicative only. They do not constitute advice, a guarantee of eligibility, or a guarantee of funding success.
The User remains solely responsible for independently verifying eligibility criteria, deadlines, and requirements directly with the relevant funder before submitting any application, and for the accuracy and content of any application it submits.
Fundin is not liable for any loss, missed opportunity, wasted cost, or unsuccessful application arising from reliance on AI-generated matches, eligibility assessments, or other automated outputs provided through Discover.
Fundin does not use customer data to train models for other users.
10C. Discover Plan — MCP Access and Third-Party AI Tools
MCP Access allows the User to connect Discover to third-party AI tools such as Claude or ChatGPT. Use of those third-party tools is subject to the relevant third party’s own terms and privacy policy, which the User is responsible for reviewing and accepting separately.
When the User enables MCP Access, organisational data entered into or generated within Discover may be transmitted to and processed by the connected third-party AI tool in order to respond to the User’s queries. Fundin does not control how the third-party AI provider processes, stores, or uses that data once transmitted.
Fundin is not liable for the actions, outputs, availability, or data handling practices of any third-party AI tool connected via MCP Access.
The User may disable MCP Access at any time via account settings.
11. Third-Party Dependencies (All Plans)
Fundin is not responsible for delays or failures caused by:
- funder systems or portals;
- changes to deadlines or requirements;
- external technical issues;
- third-party AI tools connected via MCP Access (Discover — see also Section 10C).
12. Data Protection (All Plans)
Fundin processes personal and organisational data in accordance with its Privacy Policy at https://fundin.ai/privacy-policy/.
Where MCP Access is enabled, the User acknowledges and consents to the data flows described in Section 10C as part of their use of that feature.
13. Fees & Billing
13A. Managed Service
- Subscription fees are billed on a recurring basis;
- fees are non-refundable except where required by law;
- subscriptions renew automatically unless cancelled.
Fundin may update pricing with reasonable notice.
13B. Discover Plan
Discover is billed per month on a recurring monthly subscription basis, charged in advance.
Subscriptions renew automatically each month unless cancelled in accordance with Section 14B. The User authorises Fundin to charge the payment method on file for each renewal.
Fundin may change Discover’s pricing on notice of at least 30 days. Continued use after a price change takes effect constitutes acceptance of the new price.
Except as set out below, fees paid are non-refundable, including where the User cancels partway through a billing period.
Money-Back Guarantee — This guarantee applies only to a User’s first Discover subscription period.
Fundin offers a 30-day money-back guarantee on Discover, conditional on the User having:
- had an onboarding call with a member of the Fundin team;
- followed the action plan agreed during that call, including using the platform’s matching and eligibility tools as advised; and
- not breached any other provision of these Terms.
The guarantee does not apply where the User has not booked or attended the onboarding call, or has not followed the agreed action plan.
To request a refund under this guarantee, the User must contact Fundin in writing at support@fundin.ai within 30 days of their first Discover subscription payment. Fundin will confirm the outcome within 5 working days and, if approved, process the refund to the original payment method within 10 working days.
This guarantee applies only to the first billing period. It does not apply to renewals, repeat subscriptions, or any period after the 30-day window has elapsed.
14. Term, Termination & Cancellation
14A. Managed Service — Minimum Term & Termination
The service is subject to a minimum term of three (3) months.
Following the minimum term, either party may terminate by providing one (1) month’s written notice.
Fees remain payable during the minimum term and notice period.
Fundin may suspend or terminate the service immediately where:
- required information or approvals are not provided;
- fees remain unpaid;
- false or misleading information is provided; or
- continued service poses legal or reputational risk.
Suspension does not pause fees unless agreed in writing.
14B. Discover Plan — Cancellation
The User may cancel their Discover subscription at any time via account settings or by contacting support@fundin.ai. Cancellation takes effect at the end of the current billing period; access continues until that date.
No partial-month refunds are given on cancellation, except as set out in Section 13B (Money-Back Guarantee).
Fundin may suspend or terminate Discover access immediately where the User breaches these Terms, misuses MCP Access, or fails to pay fees when due.
15. Intellectual Property (All Plans)
All intellectual property in Fundin’s systems, processes, and materials remains the property of Fundin.
Users retain ownership of their own submitted content and organisational data, and (for Discover) grant Fundin a licence to process that data for the purpose of providing the service.
16. Limitation of Liability (All Plans)
To the maximum extent permitted by law, Fundin is not liable for:
- unsuccessful applications;
- loss of funding or opportunity;
- indirect or consequential losses.
Fundin’s total liability under each plan is limited to the fees paid by the User for that specific plan in the six (6) months preceding the claim. Liability arising from the Managed Service is capped by reference to Managed Service fees only; liability arising from Discover is capped by reference to Discover fees only.
17. Amendments (All Plans)
Fundin may update these Terms at any time. Continued use of the service constitutes acceptance of the updated Terms.
18. Governing Law (All Plans)
These Terms are governed by the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
