Fundin uses artificial intelligence (“AI”) features within our platform to help charities discover funding opportunities, draft high-quality grant applications, and manage their fundraising more efficiently. We understand that many organisations handle sensitive information, and protecting your data is a core responsibility.

This AI Privacy Policy explains how Fundin processes information when using our AI tools and provides clarity around data security, retention, and confidentiality.

1. Overview

We only use providers that allow full opt-out from training and strict privacy controls.

Fundin’s AI features are designed to enhance your workflow without compromising privacy. None of your data is used to train any external AI models, and your data is never sold, shared, or used for marketing by third parties.

2. What Data Is Processed by the AI?

When you use Fundin’s AI tools, the following types of data may be processed solely for the purpose of generating the requested outputs:

  • Text you enter into the drafting tool
  • Project information submitted within the platform
Grant requirements or uploaded materials needed to generate AI responses
  • Internal notes used to personalise drafts

This information is processed only to generate results for your organisation. It is not stored by AI providers and is not accessible to any external parties.

3. No Data Is Used for AI Training

Fundin works only with AI providers that allow organisations to opt-out of model training, and we have exercised this option in full.

This means:

  • Your inputs are not used to train or improve their models
  • Your outputs are not used for research
  • Your data is not retained beyond generating a response
  • Your data is never incorporated into public or shared models

Your information stays private and isolated.

4. Data Security & Storage

  • All data processed through the platform is encrypted in transit and at rest.
  • AI providers do not retain your data after generating a response.
  • Only authorised Fundin staff with appropriate permissions may access your account data, and only for support or quality purposes.
  • We do not share your data with funders, partners, or third-party platforms without your explicit consent.

5. How We Use AI Internally

Fundin’s AI tools may be used to assist with:

  • Drafting grant applications
  • Summarising or analysing project information
  • Identifying eligibility criteria
  • Suggesting improvements to bid content
  • Matching charities with relevant grants

At all times, AI is used only to support your organisation’s tasks. Human review is encouraged and supported.

6. Data Retention

Fundin stores your project information, notes, drafts, and other content only within your Fundin account and never within AI systems.
Drafts or project details you create remain accessible only to you and your authorised team members.

You may request deletion of any information at any time.

7. Confidentiality

We fully understand the importance of confidentiality when working with charitable funding, Trusts & Foundations, or sensitive programme information.

Accordingly:

  • All information processed by the AI tools remains confidential
  • Data is never shared with funders or third parties without consent
  • No third-party AI provider has permission to store or reuse your data

8. Compliance
